- Monitoring workflow status and history
Сan view workflow status for a site or a selected item in a document library or list.
Workflow history for a selected workflow instance indicates key metadata as well as the tasks and workflow history records created by the workflow.
The default site workflow history page lists instances of workflows run on the site.
History for each workflow instance is saved to the history list , typically the default site workflow history list.
In SharePoint Online, the Workflow Auto Cleanup job permanently deletes workflow instances and related task entries that still exist 60 days after a workflow is completed or canceled. You can regularly export the workflow history list if you need to save the workflow history for longer than 60 days, or contact your Farm Administrator to reconfigure job settings.
View the status of the workflow for the site can be through Site content using section Workflows.
View the workflow status for an item in the Workflows on the top panel.
The Workflows page contains the following sections:
Section | Description |

Start a New Workflow | Lists workflows available for the selected item. |
Workflows | Lists running, completed, canceled, and errored workflow instances for the selected item. Default columns are Name, Started, Ended, Internal Status, and Status. |
The workflow status page contains the following sections:
Section | Description |
---|---|
Workflow Information | Lists key metadata for the workflow instance, such as initiator, started date, last run date, internal status, and status. Internal Status indicates workflow status values for the workflow instances. |
Tasks | Lists tasks created by user interaction workflow actions in the workflow instance, along with status, start time, end time, and outcome entered for the task are listed. |
Workflow History | Lists messages generated by actions in the workflow instance, along with comments made by users (when required). |
Workflow status values:
Status | Description |
---|---|
Not Started | The workflow has not started. |
Failed on Start | Indicates that the workflow encountered an error when it started. |
Failed on Start (retrying) | Indicates that the workflow is being retried after it failed to start. |
In Progress | Workflow is currently in progress. |
Canceled | Workflow execution was halted by a specified user. |
Completed | The workflow is completed. |
